MRU (outgoing) staff - Possibilities and general information on Erasmus+ staff mobility for teaching or training

Under the Erasmus+ programme, academic staff at Mykolas Romeris University have the opportunity to undertake short-term mobility visits for teaching or training purposes (i.e., staff mobility for teaching (STA) or staff mobility for training (STT)). Administrative staff may take part in mobility visits for training purposes (STT).

MRU implements Erasmus+ KA131 mobility projects (i.e., mobility between Programme countries) and KA171 mobility projects (i.e., mobility between Programme countries and third countries not associated with the Programme).

For teaching visits, an inter-institutional agreement must be signed between MRU and the host higher education institution abroad. However, inter-institutional agreements are not required for training visits.

Additional funding may be available for participants with special needs, and specific arrangements can be made for participants with fewer opportunities.

Duration of the Erasmus+ KA131 staff visit for teaching or training to Programme countries (EU, Norway, Iceland, Lichtenstein, Turkey, Republic of North Macedonia, Serbia) can be between 2 to 6 days  (including travel). Minimum days of activities – 2 days. For teaching visits – at least 8 hours of teaching  (for duration of 2-5 days of activities).  It is possible to go for teaching/training visits without financial support – such visit will be recorded as 0-grant KA103 mobility.    

Duration of Erasmus+ KA171 staff visit for teaching or training to Partner country (f.e.  Ukraine, Kosovo, Indonesia, Georgia, etc.) can be between 5 to 7 days (including travel). Minimum days of activities – 5 days. For teaching visits – at least 8 hours of teaching  (for duration of 5 days of activities). It is possible to go for teaching/training visits without financial support – such visit will be recorded as 0-grant KA107 mobility. 

Longer duration visits can take place only with 0-grant (t.i. without financial support). 

WHAT IS ERASMUS+ STAFF MOBILITY FOR TRAINING (STT)?

Erasmus+ staff mobility for training is designed to enhance professional qualifications or competencies at a partner institution or another relevant organization abroad. The training activities should be relevant to the participant’s professional duties and contribute to their professional development in the respective field.

Training activities may include:

  • Various types of training courses
  • Job shadowing
  • Staff training weeks
  • Workshops, seminars, etc.
    (Participation in conferences is not eligible.)

WHAT IS ERASMUS+ STAFF MOBILITY FOR TEACHING (STA)?

These are short-term academic staff visits to deliver lectures or conduct seminars at partner institutions.
Typically, teaching mobility requires a minimum of 8 teaching hours.

A combined mobility for teaching and training is also possible. In such cases, the visit must include at least 4 teaching hours, and the rest of the time can be dedicated to training activities, such as:

  • Sharing academic expertise
  • Developing or updating joint study programmes
  • Creating and testing new teaching methods
  • Strengthening cooperation with colleagues at the host institution
  • Exploring other higher education systems

DURATION OF MOBILITY

  • For KA131 (within Europe): The minimum visit duration is 2 days; the maximum funded period in 2025 is 5 days (including travel days).
  • For KA171 (outside Europe): The maximum funded period in 2025 is 7 days (including travel days).

Please note that the number of funded days may vary depending on the available funding in each selection round.

GRANT

Each participant typically receives two types of support:

  1. Travel support – to cover travel expenses, based on the applicable rates for the host country.
  2. Individual support – to cover subsistence/living costs

PART 1: TRAVEL COST SUPPORT

Travel grant amounts are calculated based on the distance calculator provided by the European Commission.

For trips up to 500 km, participants are required to use sustainable modes of transport – such as bus, train, or shared car travel with other MRU mobility participants.

Selection Procedure and Mobility Process

The selection of teaching staff is announced once or twice per year and is carried out within the faculties where the teachers are employed. Non-academic staff working in the faculties may submit applications for mobility visits during these selection periods.

Teachers applying for visits for teaching or training purposes must submit a motivated application along with a prepared teaching program and/or an invitation from the host higher education institution. Non-academic faculty staff applying for training visits must submit a motivated application and a prepared work plan and/or an invitation from the host organization.

The selection of staff from administrative units (hereinafter – Staff) is typically announced at least once per year. Staff applying for training visits must submit a motivated application and a prepared work plan and/or an invitation from the host organization.

Selection Criteria for Teaching Visits:

  • Proficiency in the foreign language intended to be used for teaching abroad (minimum level B2).
  • Content of the teaching program.
  • Experience in international academic activities.
  • Teaching experience (teaching needs) in MRU joint, double-degree, or English-taught study programs.
  • Ability to apply various teaching/learning methods and modern information technologies.

Selection Criteria for Training Visits:

  • English language proficiency at a minimum B2 level.
  • Content of the work program.
  • Relevance of the staff member’s training to the unit’s or university’s activities.
  • Importance of the selected training for the staff member’s qualifications and professional development.

Priorities in Participant Selection:

  • Visits to ERUA Alliance partner universities (Université Paris 8 Vincennes-Saint-Denis – UP8 (F PARIS008); SWPS University – SWPS (PL WARSZAW37); European University Viadrina – EUV (D FRANKFU08); University of Macerata – UNIMC (I MACERAT01); University of the Aegean – UAEGEAN (G ATHINE41); New Bulgarian University – NBU (BG SOFIA02); University of Las Palmas de Gran Canaria – ULPGC (E LAS-PAL01)).
  • Applicants who have never participated in Erasmus+ mobility before.
  • First-time Erasmus+ mobility participants in the current year.
  • Teaching and training activities aimed at strengthening and expanding unit partnerships or preparing future cooperation projects.
  • Development of new teaching materials (for teachers).
  • Relevance of the teaching or training activity to the unit’s or university’s operations.
  • Visit to a Scandinavian country.

Selection Process:

  • Applications for mobility (for teaching or training purposes) must be submitted by completing the registration form.
  • The selection takes place within the faculties/units.
  • Results are announced within 5–10 working days after the application deadline.

BEFORE MOBILITY

  • Find a suitable host institution willing to accept you for Erasmus+ mobility for teaching or training purposes.
  • Submit your application for selection: for teaching mobility – at the faculty; for training mobility – at the faculty (if submitted by a teacher or faculty administrative staff member) or at the administrative unit.
    Please note: Employees hired specifically for Project activities are not eligible to participate in Erasmus+ mobility activities.
  • Upon confirmation of selection, submit a business trip request via the eDVS system with accompanying documents (Mobility Agreement for Teaching/Training or Invitation Letter) no later than 7 calendar days before the start of mobility.
  • Coordinate the Mobility Agreement for Teaching/Training with the host institution: agree on the period of mobility, the teaching/training plan, duration, and objectives. The Mobility Agreement must be signed by all three parties.
  • Arrange travel tickets, health insurance, and accommodation.
  • Before departure, after signing the grant agreement, at least 80% of the allocated grant amount will be paid.

DURING MOBILITY

  • Ensure the host institution signs and stamps the Certificate of Attendance.
  • Don’t forget to document your visit with photos!

AFTER MOBILITY

  • Complete the Erasmus+ online EU Survey. You will receive a link by email shortly after the mobility.
  • Within 3 working days of your return, send travel documents (e.g., boarding passes) to the Finance Department. The departure and return dates must match those indicated in the business trip request.
  • Within 3 days, send the Certificate of Attendance (signed by the host institution) to the International Office.
  • Share your experience with your team and colleagues.
  • Send a thank-you note to the host institution.
  • Maintain professional contact with your new international partners.

MRU staff business trips in Lithuania and abroad

According to the Approved Procedure Description for Business Trips, Internships, and Leave of Absence for Mykolas Romeris University Employees (hereinafter – the Description):

A business trip is the temporary relocation of a University employee from their permanent workplace at the request of the Rector or an authorized person to perform work-related functions. An internship is a type of business trip aimed at improving work skills, professional, scientific, and/or teaching qualifications.

A leave of absence is permission not to report to the workplace for a justified reason while retaining salary, in cases when the employee leaves not on behalf of the University and can only partially perform work functions, or when travel expenses are covered by personal funds. A leave of absence may be granted for no longer than 30 calendar days (including travel time).

Employees may be sent on a business trip to University units located at a different address than their regular workplace under the conditions specified in the Description.

A request must only be submitted for a one-day business trip within the Republic of Lithuania if expenses are incurred.

Documents related to business trips, internships, and leave of absence are managed in the University’s electronic Document and Process Management System (hereinafter – eDVS). A business trip, internship, or leave of absence is formalized by the approval of the employee’s request by the Rector or an authorized person, and the record is registered in eDVS.

Employees are sent on business trips/internships either at their own initiative or the employer’s initiative, by submitting a request through eDVS and completing the metadata in the P12 register no later than 3 working days before the planned departure (for domestic trips), or no later than 7 working days before departure (for trips abroad).
If the dates of a vacation overlap with the dates of a business trip, internship, or leave of absence, the vacation must and will be canceled.

The request must be submitted with supporting documents attached (uploaded as annexes), such as:

  • An invitation, event program or confirmation of registration, agreed-upon teaching or internship program, etc.;
  • A copy of the vehicle registration certificate if traveling by personal vehicle.

The request must be coordinated and approved (signed electronically) by all persons specified in the Description (selected as approvers and signatories in the eDVS system).

Request for a Business Trip / Internship Implementing a Project (excluding Erasmus+ mobility):

To be coordinated, revised if necessary, and signed by:

  • A responsible staff member of the Projects Unit at the Research and Innovation Centre.

To be signed by:

  1. The project manager of the project under which the employee is being sent on the business trip/internship;
  2. Head of the Finance Office;
  3. A responsible staff member of the International Office (if the trip is abroad);
  4. Direct supervisor, unit head, and heads of other University units where the employee works.
    (Note: teachers must include their faculty’s Vice-Dean for Studies)
  5. A responsible staff member of the Academic Affairs Center (if the traveler is a teacher);
  6. Vice-Rector for Academic Affairs (if the trip is abroad);
  7. A responsible staff member of the Property Management Office (if using a personal vehicle).

Request for a Business Trip / Internship for Erasmus+ Mobility:

To be coordinated, revised if necessary, and signed by:

  • The faculty academic coordinator (for academic unit staff) – who must specify the maximum grant amount or number of Erasmus+ funded days;
  • The institutional Erasmus+ coordinator (for non-academic unit staff) – who must indicate the maximum grant amount or number of funded days, coordinated with the unit head.

To be signed by:

  1. A responsible staff member of the International Office;
  2. Direct supervisor, unit head, and heads of other University units where the employee works.
    (Note: teachers must include their faculty’s Vice-Dean for Studies)
  3. Head of the Finance Office;
  4. A responsible staff member of the Academic Affairs Center (if the traveler is a teacher);

Request for Leave of Absence or Other Business Trips / Internships Not Specified in Clauses 18 and 19 of the Description:

    (Note: teachers must include their faculty’s Vice-Dean for Studies)
  2. Head of the International Office (if the trip is abroad);
  3. Head of the Finance Office;
